POSITION DESCRIPTIONS
The Programs Assistants provide administrative and program management support to the Programs Department to ensure efficiency of operations, effective delivery of grant-making and community activities and high-quality services to nonprofits, community partners, Board of Directors and other key constituents. The Programs Assistants provide support to staff and may at times be asked to provide logistical support to partner-led initiatives. The Executive Assistant engages in similar activities but works directly for and with the President and CEO. These positions provide the individuals with a unique opportunity to work with a dynamic social justice organization and a diverse team to build stronger more sustainable communities statewide. They are also positions that provides exposure and a diversity of learning opportunities about multiple issues that impact communities and the role of philanthropy as a solution partner.

One position will be based in the Baton Rouge office, two positions will be based in the New Orleans office, and one will split time between the two cities. All positions will require travel, particularly between Baton Rouge and New Orleans, as well as program meetings in different parts of the state.

All positions are exempt positions primarily 9 a.m.-5 p.m., Monday to Friday. However, additional hours including evenings and weekends may be required from time to time as well as some in-state travel.

DUTIES & RESPONSIBILITIES
The following is a summary of the duties required. These may be adjusted depending upon the needs of the organization and the interests of the individual hired.

Position A – Programs Assistant for Special Initiatives – Baton Rouge: Located in Baton Rouge, this position will provide support to the special initiatives and fiscal sponsored programs and assistance to the Vice President of Programs and Special Initiatives. This position will report to the Vice President of Programs and Special Initiatives.

Position B – Programs Assistant for Special Initiatives – New Orleans: Located in New Orleans, this position will provide support to special programs initiatives in New Orleans and will report to the Associate Director of Programs and Planning.

Position C – Executive Assistant to the President & CEO: Located in New Orleans. Provides administrative support and executive support to the President and CEO. This position will include organizational support such as travel coordination, scheduling, events and logistics. Additionally, the Executive Assistant will do literature research and write briefs, short papers and proposals, prepare talking points on specific issues, draft speeches for the President & CEO, and assist with preparedness for functions, meetings and conferences. This position will report directly to the President and CEO and also interface with the foundation’s Board of Directors. This position requires a high level of leadership, attention to detail, organization, and good judgment.

Logistics and Event Planning
• Coordinates logistics for the department’s in-office meetings and community events including scheduling, venue arrangements, set-up, equipment needs, catering coordination, materials, invitation and RSVP process. This includes attending major events as requested by staff to coordinate onsite, take notes, post-meeting logistics and tasks, etc.
• Organizes travel for Programs Staff including flight arrangements, hotel bookings and managing expense reports for travel reimbursements.

Information Management
• Assists in researching community issues and organizations to support FFL’s grant-making and community engagement work.
• Maintains foundation’s databases of nonprofit and community contacts to ensure they are up-to-date.
• Assists in preparing meeting materials for committee and Board of Directors’ meetings.
• Attends meetings for the Board of Directors and Programs Committee and drafts official meeting minutes.
• Attends program-related meetings and drafts official meeting minutes
• Performs general clerical duties for the department to include but not limited to: photocopying, faxing, mailing and filing.

REQUIRED SKILLS
• Minimum of Associates Degree/BA preferred, with minimum of 2 years of experience in area related to office administrative support service; grants management experience is a plus.
• Excellent customer service abilities and commitment to delivering quality service.
• Excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and problem solving are required
• Very strong ability to think critically, take personal initiative, work both independently and as a team member, collaborate and coordinate with others
• Excellent writing and grammar skills and general communications abilities both written and verbal are required.
• Knowledge and experience with office telephone and electronic mail protocol
• Excellent skills and experience with Microsoft Word, Excel and Outlook, working with databases and internet research; knowledge of Photoshop and other publishing tools are a plus.
• Awareness of, and commitment to, working in a wide range of social justice areas including criminal justice reform including mass incarceration, racial equity, LGBTQ rights, coastal resiliency, disaster preparedness and response.

OTHER DESIRED SKILLS
• Prior work experience in a non-profit organization a plus.
• Bilingual (particularly in Spanish or Vietnamese) is a plus.
• Experience with Salesforce is an asset.
• Knowledge of social media management is a plus.
• Background in organizing or social justice advocacy.

Job Specific Information
Special Initiatives include (but not limited to) the following:

Truth, Racial Healing and Transformation (TRHT) Enterprise
TRHT is a comprehensive effort, implemented community-by-community, to plan for and bring about transformational and sustainable change, addressing the historic and contemporary effects of racism. TRHT activities will occur in Baton Rouge and New Orleans and supported by a TRHT Program Manager. The Programs Assistant will support the TRHT Program Manager and the TRHT Advisory Committee in developing and implementing the framework and activities. Activities will include providing logistical support for meetings and events, taking minutes, developing information and communication materials, network management and supporting fund development.

Cultural Innovation District (CID)
The Cultural Innovation District (CID), a 19-block transformation of the elevated I- 10 expressway along Claiborne Avenue from Canal Street to St. Bernard Avenue. The first phase of the project, spanning from Orleans Avenue to Esplanade Avenue, will create retail space and infrastructure for 30 micro-enterprises, 20 small businesses, and ten non-profit or public sector organizations; in addition to a plethora of open spaces, art installations, exhibits, and demonstrations. The Programs Assistant will support the CID Program Manager in developing and implementing the first phase of the CID including event organization, supporting communications, network management and fund development.

Salary Range: $35-$45,000 annually plus full benefits including medical, 403(b) retirement, and paid leave/vacation.

Truth, Racial Healing & Transformation Program Manager
(TRHT Manager)

Reports to: Vice President of Programs and Special Initiatives (VPPSI)

Job Summary
This position is responsible for providing effective and inspiring guidance for the development and implementation of the Truth, Racial Healing and Transformation framework in New Orleans and Baton Rouge. S/he will provide leadership in the development of TRHT programming and the engagement of community residents, partner organizations and stakeholders. The TRHT Program Manager works directly with partners and allies to generate effective strategies and develop a grant-making portfolio, consistent with FFL’s mission and purpose. The TRHT Manager will be supported by a multi-sector leadership Advisory Committee representative of the local community partners as well as the FFL staff team. The TRHT Manager will also work with FFL senior staff on fund development and communications strategies and is expected to lead the implementation of the TRHT project plan. Please refer to Attachments A and B for information about FFL and the TRHT framework.

The best candidate will demonstrate a strong ability to:
• leverage strengths that bring assets to the TRHT framework;
• build capacity within FFL and the community;
• take advantage of new opportunities and relationships to advance the work;
• address organizational challenges with a solutions-oriented attitude. Specifically, the TRHT Manager will:
1. Plan, coordinate and schedule one-on-one, small group, and larger meetings of the Advisory Committee members and other stakeholders to further refine the TRHT implementation plan.
2. Lead strategic development of TRHT initiatives, working closely with partners and allies, to meet the program’s goals.
3. Develop an annual work plan that includes programmatic and operational elements, in accordance with FFL’s policies and procedures, working closely with Advisory Committee members and other stakeholders.
4. Work with FFL’s communications team and Senior staff to develop and implement a communications practice to keep all TRHT stakeholders and partners informed of TRHT framework implementation and evolution.
5. Disseminate relevant information, analysis, and communications tools to FFL partners and allies.
6. Network and outreach to local, regional and national actors to seek their collaboration in support of program and objectives
7. Engage policy makers, advocates and practitioners on issues relevant to program objectives.
8. Manage the TRHT budget and work with Senior staff and the TRHT Advisory Committee in making investment decisions that help advance the foundation’s goals.
9. In conjunction with staff and the Advisory Committee, oversee the community engagement process for both the development and programming aspects of the TRHT framework implementation and creating communities of healing in New Orleans and Baton Rouge.
10. The TRHT Manager will also work with FFL’s fund development team and consultants to identify funding opportunities to support the growth of the TRHT endowment.
11. Perform other duties that help advance the strategic goals of the organization and are aligned with the TRHT framework.

Responsibility Loading: Approximate responsibility loading will be:
• 40% TRHT New Orleans
• 40% TRHT Baton Rouge
• 10% communications
• 10% fund development

Skills and Competencies:
• Experience in community engagement; organizing; managing large teams;
• 2-5 years in project management, program design and implementation
• 1-3 years of experience supervising large teams of staff, consultants and/or volunteers
• Prior supervision of an advocacy campaign;
• Experience working with advisory committees
• Bachelors’ Degree preferred (Women and Gender Studies, Critical Race Relations, International Development, Ethnic Studies, or other related fields)
• Ability to work under tight deadlines and pressure
• High level of organization and attention to details
• Experience writing grant proposals and developing fundraising campaigns
• Team player; work well with groups and independently

About the TRHT Process:
The WK Kellogg Foundation has launched a national effort to engage communities across the United States in racial healing and change efforts via a Truth, Racial Healing and Transformation (“TRHT”) process and related activities. The goal of the TRHT process is to unearth and jettison the deeply embedded belief in a hierarchy of human value (a social construct valuing one individual over another based on skin color, physical or other superficial characteristics) that sustains racism, to recognize the history and continued trauma resulting from that belief and to create solutions that will sustain healing and structural change. As in other truth efforts, the goal is to reveal the unseen, to unearth the deeply embedded and hidden, and to leverage the released energy and creativity to foster new ways of relating as human beings with the full recognition of our individual, community and collective strengths, vulnerabilities and, most significantly, resilience. The TRHT process will follow the TRHT framework being developed by WKKF (the “Framework”).

In 2017, FFL was selected by the W.K. Kellogg Foundation to participate in the Truth, Racial Healing and Transformation process to create communities where racial healing occurs in both New Orleans and Baton Rouge. The TRHT Manager will lead FFL’s effort to launch the TRHT process in New Orleans and Baton Rouge.
